1. Overview
Sikaba Systems is a technology brand owned and operated by Ahonya Systems. We provide digital software solutions, software deployment, implementation, system management, technical support, and related digital services.
Because many of our products and services are delivered digitally—including software licenses, downloadable software, source code, digital configurations, system access, implementation services, and managed infrastructure—such products and services cannot be physically returned once delivered or made available.
As a result, purchases are generally final and non-refundable, except where a refund is expressly permitted under this Refund & Cancellation Policy or required by applicable law.
This policy applies to purchases made through the Sikaba Systems website, online shop, or through an authorized Sikaba Systems/Ahonya Systems sales channel.
2. Digital Products and Software
Due to the nature of digital software products, refunds are generally not available after:
- A software license has been issued.
- Downloadable software or source code has been provided.
- Digital files have been made available to the customer.
- Software credentials or access keys have been issued.
- A customer has received access to the purchased system.
- A deployment or implementation service has commenced.
Customers are therefore encouraged to review the product description, system requirements, features, deployment requirements, and applicable terms before completing a purchase.
Where a product includes a demonstration, consultation, trial, or product documentation, customers are encouraged to make use of those resources before purchasing where available.
3. Self-Deployment Option
Some Sikaba Systems products may be offered under a self-deployment model.
Under this model, the customer is responsible for deploying and operating the software within their own infrastructure.
3.1 Refund Eligibility
Refund requests for self-deployed software must be submitted within 14 calendar days of the original purchase.
A refund may be considered where:
- The purchased software contains a significant technical defect affecting a core advertised function; and
- The issue can be reproduced and verified by our technical team; and
- The issue cannot reasonably be resolved, patched, or otherwise addressed by our technical team within 7 business days after receiving sufficient technical information from the customer.
Refunds are not automatic. Each request will be reviewed individually based on the circumstances of the case.
3.2 Situations That Generally Do Not Qualify
Refunds will generally not be provided where an issue results from:
- Failure to meet published system requirements.
- Incorrect installation or configuration.
- Customer modifications to the software.
- Unsupported third-party software or plugins.
- Incompatible hosting environments.
- Incorrect server configuration.
- Customer infrastructure failures.
- Network or connectivity problems outside our control.
- Failure to provide required permissions or access.
- Customer misuse of the software.
- Failure to follow installation or deployment instructions.
- Lack of technical knowledge or expertise required to self-deploy the software.
- A change of mind after purchase.
- Failure to review the product requirements before purchase.
Where reasonable, our technical team may provide guidance or troubleshooting assistance before a refund is considered.
4. Sikaba Systems Deployment Option — Managed Services
Sikaba Systems may provide deployment and ongoing system management services for customers who prefer a managed solution.
Initial technical deployment may be provided at no additional deployment charge where expressly stated in the customer’s service agreement or quotation.
However, ongoing management, hosting, infrastructure monitoring, maintenance, support, updates, or related services may be subject to a recurring monthly managed-services fee.
4.1 Initial Managed-Service Guarantee
Where a managed-service arrangement includes a 14-day performance guarantee, the customer may request a refund of the initial managed-service fee if our technical team is unable to provide a functional and operational environment consistent with the agreed service specifications.
The issue must be reported promptly, and the customer must provide reasonable access and information required for our technical team to investigate and resolve the problem.
4.2 Circumstances Outside Our Control
A deployment or service failure will generally not qualify for a refund where the failure results from circumstances attributable to the customer or a third party, including:
- Failure to provide required server credentials or access.
- Restricted network access.
- Firewall restrictions.
- DNS or domain configuration controlled by the customer.
- Hosting-provider problems.
- Third-party service outages.
- Customer-imposed security restrictions preventing deployment.
- Failure to provide required infrastructure.
- Changes made to the deployment environment by the customer or another third party.
- Failure to cooperate with reasonable technical requests.
- Unavailability of required third-party services or APIs.
5. Monthly Subscriptions and Managed Services
Customers receiving ongoing system management or other recurring services may be charged a monthly subscription or managed-service fee according to their applicable agreement.
5.1 Cancellation
Monthly subscriptions may be cancelled at any time.
Unless otherwise stated in your service agreement, cancellation will take effect at the end of the current paid billing period.
The customer will normally continue to have access to the applicable service until the end of the paid period, subject to the terms of the service agreement.
5.2 No Prorated Refunds
We generally do not provide partial or prorated refunds for unused days remaining in an active billing period.
For example, if a customer cancels a monthly service halfway through a billing cycle, the service will normally remain active until the end of that billing cycle, but the unused portion of the month will not be refunded.
5.3 Future Billing
Once a cancellation has been successfully processed, the subscription will not renew for the next billing cycle.
Customers are responsible for ensuring that cancellation requests are submitted before the next billing date if they do not wish to be charged for another billing period.
6. Custom Software and Development Services
Sikaba Systems may provide customized software development, website development, system configuration, integration, customization, and other professional technology services.
Because these services may involve work specifically undertaken for an individual customer, refunds may be limited once development or implementation has commenced.
Where a project is cancelled after work has started:
- Fees for work already completed may remain payable.
- Third-party expenses already incurred may not be refundable.
- Custom development work may not qualify for a refund once delivered or substantially completed.
- Any refund will be determined based on the applicable quotation, agreement, project scope, and work completed.
Where a separate written service agreement or project contract exists, its refund and cancellation provisions will take precedence where applicable.
7. Third-Party Products and Services
Some Sikaba Systems solutions may depend on third-party services, including:
- Cloud hosting providers.
- Payment providers.
- Domain registrars.
- Software libraries.
- APIs.
- Plugins.
- External integrations.
- Email delivery services.
- Other third-party technology providers.
Where a refund is requested because of a third-party service, we will assess the circumstances individually.
Fees paid to third-party providers on the customer’s behalf may be non-refundable where the relevant provider does not offer a refund.
8. How to Request a Refund
To submit a refund request, contact our support or operations team within the applicable refund period.
Your request should include:
- Your full name or organization name.
- Order or invoice number.
- Date of purchase.
- Product or service purchased.
- Deployment model, where applicable.
- A description of the problem.
- Steps required to reproduce the problem.
- Relevant error messages.
- Screenshots or system logs where applicable.
- Any other information reasonably required to investigate the claim.
Providing complete technical information will help us assess and resolve the issue more quickly.

9. Refund Review Process
After receiving a refund request, our team may:
- Review the customer’s purchase and service details.
- Verify the reported issue.
- Request additional information where necessary.
- Attempt to resolve a technical problem where appropriate.
- Determine whether the request meets the requirements of this policy.
- Communicate the outcome to the customer.
If a refund is approved, we will communicate the applicable refund amount and method.
Refund processing times may depend on the payment method and payment provider used for the original transaction.
10. Approved Refunds
Where a refund is approved, the refund will generally be made using the original payment method where reasonably possible.
Depending on the circumstances, we may deduct or exclude:
- Non-refundable third-party charges.
- Services already completed.
- Custom development work already performed.
- Other costs expressly agreed to by the customer.
Where applicable law requires a different treatment, the requirements of that law will apply.
11. Software Access After Refund
If a refund is approved for a digital software product or service, the customer’s right to use the refunded product or service will normally end.
Depending on the product or service involved, this may require:
- Deactivation of the relevant software license.
- Cancellation of account access.
- Revocation of license keys or access tokens.
- Termination of managed-service access.
- Removal of hosted or managed resources associated with the refunded service.
Customers who receive a refund must discontinue use of the refunded software and must not continue distributing, reproducing, reselling, or commercially using the refunded software contrary to the applicable license terms.
Where appropriate, customers may be asked to remove locally stored copies of refunded proprietary software or other materials, subject to applicable law and the relevant software license.
12. Fraudulent or Abusive Refund Requests
We reserve the right to reject refund requests that involve:
- Fraudulent transactions.
- Misrepresentation of facts.
- Unauthorized use of payment methods.
- Repeated abusive refund claims.
- Attempts to obtain software or services without payment.
- Continued use or distribution of software after a refund has been issued.
This does not limit any rights available to customers under applicable law.
13. Exceptions Required by Law
Nothing in this Refund & Cancellation Policy is intended to exclude, restrict, or override any consumer rights or other legal rights that cannot lawfully be excluded or restricted under the laws applicable to the transaction.
Where applicable law provides a customer with a mandatory right to a refund, cancellation, replacement, remedy, or other protection, that right will apply.
14. Policy Changes
Ahonya Systems may update this Refund & Cancellation Policy from time to time to reflect changes in:
- Our products and services.
- Our pricing and subscription models.
- Our deployment models.
- Our business practices.
- Applicable laws and regulations.
When changes are made, the last updated date at the top of this policy will be revised.
The version applicable to a purchase will generally be the version in effect at the time the purchase was made, unless otherwise required by law or agreed with the customer.
15. Governing Law
This Refund & Cancellation Policy shall be governed by and interpreted in accordance with the laws of the Republic of Ghana, subject to any mandatory consumer-protection or other applicable legal requirements.
Any dispute arising in connection with this policy should first be brought to the attention of Ahonya Systems so that the parties can attempt to resolve the matter amicably.
Where a dispute cannot be resolved through reasonable communication, the appropriate courts or dispute-resolution mechanisms of Ghana may have jurisdiction, subject to applicable law.
